Privacy Notice

PalletIndex Ltd ("we", "us") is the data controller for personal data collected through palletindex.co. This notice explains what we collect, why, and the rights you have under the UK GDPR and the Data Protection Act 2018.

1. Data we collect

• Account & enquiry data: name, work email, company, role — when you join the waitlist, request a demo, or contact us.
• Usage data: pages viewed, referrer, approximate location (country / region), device type. Collected via privacy-respecting analytics.
• Cookies: a single first-party preference cookie. See our Cookie Policy.

We do not knowingly collect special category data. We do not buy contact lists.

2. Why we use it (lawful bases)

• Contract / pre-contract steps: responding to enquiries and providing the Service.
• Legitimate interests: improving the Service, securing the site, and contacting business users about relevant updates. You can object at any time.
• Legal obligation: tax, accounting, regulatory record-keeping.
• Consent: marketing emails (opt-in only) and non-essential cookies.

3. Index data

Index values are computed from aggregated, anonymised feeds supplied by data partners under contract. No individual operator, customer, contract or pallet is identifiable in the index. We never receive raw operational data from end customers of our partners.

4. Sharing

We share personal data only with:

• Vetted processors who host, send email, or provide analytics on our behalf, under written processing agreements.
• Authorities, where legally required.
• Buyers or investors as part of a corporate transaction, under confidentiality.

We do not sell personal data.

5. International transfers

Where data is transferred outside the UK / EEA we rely on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with the UK Addendum.

6. Retention

Enquiry data: up to 24 months from last contact. Subscriber data: for the duration of the contract plus 6 years for tax. Analytics: aggregated and retained no longer than 14 months.

7. Your rights

You have the right to access, rectify, erase, restrict or object to processing of your personal data, to data portability, and to withdraw consent. Contact privacy@palletindex.co.

You can complain to the Information Commissioner's Office (ico.org.uk) at any time.

8. Security

We use TLS in transit, encrypted storage at rest, role-based access control, and incident response procedures aligned to ISO 27001 controls.
